This page describes the security and data-handling practices for the IntroCloser application. It is intended for customers and their security reviewers. For details about personal data and responsibilities, read our Privacy Policy and Terms of Use.
Where your data lives
IntroCloser application messages, contacts, AI agent settings, appointments, and account records are stored on dedicated servers in Germany, within the European Union. Uploaded files, media, and backups remain in the EU.
Generating an AI reply sends relevant message content to an AI provider. Some providers are established in the United States. These transfers rely on the European Commission’s Standard Contractual Clauses or an applicable adequacy decision, as described in our Privacy Policy.
This application-hosting description does not describe every website or email system. Pilot requests submitted through this website are sent to our team by email through our IIS email handler.
Encryption
- Traffic between your browser, connected messaging channels, the API, and the application is encrypted in transit with TLS 1.2 or higher.
- Backups are encrypted at rest.
- Passwords are stored as salted hashes, never in plain text.
- Credentials and tokens for connected third-party accounts are encrypted and are not shown in full after they are saved.
Who can access your data
- Your team: you control who joins your account and the permissions available to each person, including role-based access and client sub-accounts where supported.
- Our staff and the platform provider’s engineers: access is limited to what is needed to operate and support the Service, granted by role, and subject to confidentiality obligations.
- Other disclosures: access may also be required when you connect a third-party tool or when disclosure is required by law.
AI processing
- Message content is sent to AI providers to generate the replies, summaries, transcriptions, and search indexes you use, where those features are supported.
- Providers process content under commercial API terms that do not allow it to be used to train their models.
- We do not train AI models on your data.
- Where the Service supports bringing your own AI API key, that AI provider is your own contractual partner.
Backups and recovery
- Automated, encrypted backups are taken continuously and retained for up to 90 days for disaster recovery.
- Data deleted from the live Service leaves backups within 90 days.
- Backups are restored to recover from an incident, not to restore data you chose to delete.
Retention and deletion
- Contacts and conversations are kept until you delete them, individually, by list, or through the API. Automatic deletion of inactive contacts is available where supported.
- You can export your data while your account is active and for 30 days after it closes.
- After that export window, account data is deleted from the live Service and leaves backups within a further 90 days, unless retention is required by law.
- Security and server logs are typically retained for up to 12 months.
For access or deletion requests involving a prospect’s data, contact the customer who controls the data or email [email protected].
Monitoring and incident response
- The platform is monitored for errors, unusual traffic, and failed sign-in attempts.
- Vulnerabilities are assessed regularly and dependencies are kept up to date.
- Sub-processors are assessed for security before onboarding and are bound by written data-processing terms.
- If a personal data breach affects your data, we will notify you without undue delay after becoming aware of it. The notice will explain what happened, what is affected, and the response, so you can meet your own obligations.
Certifications and review documents
The platform is not currently SOC 2 or ISO 27001 certified.
This page and our Privacy Policy describe our security and data-handling practices. A standalone Data Processing Agreement is not currently available. Contact us if you need information for a security review.
Report a security issue
If you find a vulnerability or believe your data has been exposed, email [email protected]. We review security reports and respond to genuine findings.
